Chelmer Village Surgery is expanding our reception/administrative team and we are looking to recruit an experienced part-time receptionist to join us, to provide a high standard of patient service and support our clinical team. The role is offered on a part time, temporary basis initially with the potential for the position to become permanent. The contracted hours and working pattern are to be agreed and confirmed in discussion with the candidate.

Responsibilities

  • Greet patients and visitors warmly, ensuring a welcoming atmosphere.
  • Manage patient check-in and check-out processes, including verifying personal information.
  • Schedule appointments and manage the calendar for medical professionals.
  • Handle incoming calls, directing them to the appropriate department or personnel.
  • Maintain accurate patient records and ensure confidentiality in compliance with data protection regulations.
  • Process insurance information and assist patients with billing inquiries.
  • Coordinate communication between patients and healthcare providers to facilitate efficient care.
  • Perform general office duties such as filing, data entry, and maintaining office supplies.

Requirements

  • Proven experience in an office or administrative role, preferably within a healthcare setting.
  • Excellent organisational skills with attention to detail.
  • Strong verbal and written communication skills.
  • Ability to multitask and work effectively under pressure in a fast-paced environment.
  • Proficiency in using office software applications (e.g., Microsoft Office Suite).
  • A compassionate attitude towards patient care and a commitment to maintaining confidentiality.
  • Familiarity with medical terminology is advantageous but not essential.

About Us

Our team consists of 2 GP partners supported by a salaried GP. We have 1 x paramedic, 2 x practice nurses and 1 x HCA. We also have a variety of support staff from our PCN consisting of social prescribers and pharmacists and we are soon to be joined by a physician associate and a health and wellbeing coach.

The clinical staff are supported by our reception team/secretary/administration clerk and practice manager. We are a SystmOne practice and hold regular clinical meetings, staff meetings and MDT meetings involving our community services.
